HRD Corp grant application: apply via e-TRiS, before training

The golden rule of HRD Corp funding: get the grant approved BEFORE the course starts. Here is the exact e-TRiS sequence for the SBL-KHAS scheme, the documents you need, and how to avoid the delays that trip up first-timers.

This guide is general information for Malaysian employers, not official HRD Corp advice or legal advice. Processes, rates and forms are set by HRD Corp and can change — always verify against the official links at the end before you act.

This is Stage 2 of the HRD Corp claim journey — the application you submit before training under the HRD Corp Claimable Courses (SBL-KHAS) scheme. Get this right and, once approved, HRD Corp can pay your registered provider directly, keeping your upfront cost to a minimum. You must apply at least one (1) day before the training start date; give yourself more buffer in practice.

Log in to e-TRiS
Sign in to your employer e-TRiS account on the HRD Corp portal.

Applications → Grant → Apply Grant
Open the Grant menu and start a new application.

Choose the SBL-KHAS scheme
Select ‘HRD Corp Claimable Courses: Skim Bantuan Latihan Khas’ and click Apply.

Set officer, provider & programme
Pick your immediate officer, the registered training provider, and the training programme.

Add location, level & trainees
Enter the training location and certification level, then add batches and trainee details.

Enter course fees & upfront %
Key in fees and allowances, and select the upfront payment percentage (1–30%).

Attach documents & submit
Add the required attachments, complete the declaration, and Submit Application.

The full click-by-click sequence

Following the official HRD Corp Support Centre steps, inside e-TRiS:

  • 1. Log in to your employer’s e-TRiS account.
  • 2. Click Application, then Grant, then Apply Grant, then Apply.
  • 3. Choose the scheme code — ‘HRD Corp Claimable Courses: Skim Bantuan Latihan Khas’ — and click Apply.
  • 4. Select your Immediate Officer and click Next.
  • 5. Select the Training Provider and click Next.
  • 6. Select the training programme, key in the required details, and click Next. (For a micro-credential course, complete the three extra fields and save.)
  • 7. Select the Course Title and Type of Training, then Next.
  • 8. Enter the Training Location and click Next.
  • 9. Select the Certification Level and click Next.
  • 10. Key in trainee details — Add Batch and save, then Add Trainee Details for each participant and Add; Save when complete, then Next.
  • 11. Key in course fees and allowances and Save; select the upfront payment percentage (1–30%), Save and Next.
  • 12. Complete the declaration form and select the desired officer.
  • 13. Add all required documents via Add Attachment, then Save.
  • 14. Submit Application. A Grant Officer then evaluates it, with status updates by email and in your e-TRiS inbox.

Documents to attach

At the application stage you attach three core documents:

  • Invoice or quotation of the course fee (and transportation, if claimed).
  • Trainer’s profile — the trainer’s CV/credentials.
  • Course content or schedule — the syllabus and timetable.

Applying under the Skim Latihan Bersama (SLB) joint-training scheme instead? You also need the Surat Pecahan Kos (Cost Breakdown Letter) from the organiser — a compulsory letter showing the cost split and trainee numbers per company — plus the joint-arrangement documents and invoices/quotations from all parties. A registered provider will supply the trainer profile and course content for you, so your part is mostly the invoice and trainee list.

Timing and approval

Apply at least one day before the course start — grant approval must exist before training begins, or the claim later fails. Complete, matching documents get evaluated fastest; incomplete applications bounce back and burn your buffer. Keep fees within the Allowable Cost Matrix so nothing is disallowed downstream.

In e-TRiS: log in, go to Application → Grant → Apply Grant → Apply, choose the SBL-KHAS scheme, then work through officer, training provider, programme, location, certification level, trainee details, and course fees. Complete the declaration, attach the invoice/quotation, trainer profile and course content, and Submit Application. A Grant Officer then evaluates it.
