A company secretarial practice in Kuala Lumpur with 400 client companies runs, in effect, 400 compliance calendars. Every one has an annual return due 30 days after its incorporation anniversary, financial statements to circulate and lodge, beneficial ownership changes to file within 14 days, and a steady stream of directors’ resolutions and minutes. Almost none of that work is intellectually hard. Nearly all of it is reading, drafting and chasing. That is exactly the work Claude does well.

Ask it to produce every annual return, circulation and lodgement deadline for the next 12 months, sorted by week, with a draft reminder email per client.

What stays with the licensed secretary
The Companies Act puts responsibility on a secretary who is a member of a prescribed body or licensed by SSM, and who holds a practising certificate. Claude does not change that. It is a drafting and checking assistant. Legal judgement, such as whether a written resolution is permitted (members’ written resolutions are for private companies only, and cannot remove a director or auditor before their term ends), stays with the secretary. So does lodgement: on MBRS, only the appointed secretary or the company’s agent can lodge.
Data protection is not optional here
Registers of members, directors and beneficial owners are full of IC and passport numbers. Two rules follow.
- Use a business plan. On Claude Team and Enterprise, Anthropic does not train models on your content by default. Consumer plans work differently, and data use depends on each user’s settings. Our Claude plans guide compares them.
- Treat it as PDPA processing. Since the 2024 amendments took full effect in 2025, data controllers face mandatory breach notification, possibly a Data Protection Officer, and fines of up to RM1 million. A secretarial practice holding data on thousands of individuals should assume these rules apply to it.
As far as we can find, MAICSA has not yet published AI-specific guidance for members. Until it does, a written firm policy is your best protection; our AI usage policy template is a starting point.
