Rolling out ChatGPT Business in a Malaysian company

Seat prices in ringgit, what happens to your data, a 30-day rollout plan and the four-rule policy that covers most of the risk.

Most Malaysian companies already have ChatGPT in the building. It arrived on personal accounts, one department at a time, and nobody decided on it. Rolling out ChatGPT Business properly means taking that shadow usage and making it deliberate: a company workspace, a short policy, and training that goes beyond “write me an email”. This is the 30-day plan we use with clients.

For most companies under 200 staff, Business is the right starting point. The single most important line on that table is that business content is not used to train OpenAI’s models by default. That is the practical reason to move staff off personal accounts, where settings are left to each individual.

The 30-day rollout

From shadow usage to a governed workspace

    Week 1: find out who is already using it
    A two-question survey: which AI tools do you use, and for what? Expect 30–60% of office staff to say ChatGPT.

    Week 1: write a one-page policy
    What data may go in, what may not, and who approves new uses. Our AI usage policy template is a starting point.

    Week 2: set up the workspace
    Verify your domain, turn on SSO, set admin roles, and decide which connectors (Google Drive, Microsoft 365, Slack) to allow.

    Week 3: train by department
    Half a day per team on their own tasks: finance on reconciliations, HR on job descriptions and policies, sales on proposals.

    Week 4: build three shared GPTs
    Pick the three most repeated tasks and turn them into custom GPTs everyone uses. Measure hours saved.

What to put in the policy

Keep it short enough that people read it. Four rules cover most of the risk: no customer personal data unless the use case is approved; no confidential client documents in personal accounts, ever; a human checks every output that leaves the company; and new automations are registered with one owner. The PDPA amendments in force since 2025, including mandatory breach notification and fines of up to RM1 million, make the first rule more than a formality. Our PDPA and AI guide explains why.

Training that changes behaviour

The companies that get value from ChatGPT stop treating it as a search box. The shifts we teach: give it the context and the example, not just the question; use Projects so a team’s files and instructions persist; turn repeated prompts into custom GPTs; use Deep Research for market scans; and, for anyone who touches code or spreadsheets with formulas, try Codex, which is included in Business. Staff who make those shifts report saving hours a week. Staff who do not stay at the email-drafting stage.

When you need Enterprise

Move up when you need SCIM user provisioning from your identity system, your own encryption keys, fine-grained role-based access, or data residency. Enterprise offers residency in ten regions; Singapore is the nearest to Malaysia, and Malaysia itself is not on the list. Regulated firms, such as those under Bank Negara’s RMiT policy, should involve risk and compliance before choosing.

In September 2026 OpenAI lists ChatGPT Business at US$20 per standard seat per month on annual billing (US$25 monthly), shown as RM78 on its pricing page. Premium seats with five times the usage are US$100 per month annually, shown as RM390. Business covers teams of 2 to 200 users. Enterprise pricing is custom.

No, not by default. OpenAI states that content in ChatGPT Business and Enterprise is not used to train its models by default. Personal Free and Plus accounts are governed by each user’s own settings, which is one reason companies move staff to a managed workspace.

Not currently. ChatGPT Enterprise offers data residency in ten regions, and Singapore is the nearest to Malaysia; Malaysia is not listed. ChatGPT Business does not include data residency. Regulated firms should confirm requirements with their risk and compliance teams.

At minimum: what data may and may not be entered (especially customer personal data under the PDPA), a ban on confidential documents in personal accounts, human review of any output that leaves the company, and a named owner for each new automation. One page is enough if people actually read it.
